Administrative Assistant
OBJECTIVES OF THE PROGRAMME
The Governing Bodies Unit (GBS)provides support and assistance to the EMR governing bodies to play their rolein the governance and management of the Regional Office for the EasternMediterranean as well as coordinating and supporting regional preparationsrelated to the meetings of the global governing bodies (World Health Assembly,Executive Board) and the Global Policy Group.
DESCRIPTION OF DUTIES
Draft correspondence on own initiative or based on instructions; finalize correspondence/reports for signature; analyze incoming correspondence and requests, search for information and attach background when required, or redirect them as appropriate, drawing the attention of the supervisor or other senior staff concerned.Act as administrative resource person for the GBS unit on matters related to operational planning, implementation, monitoring and reporting.Support GBS training and capacity building work designed internally for Regional Staff, and externally for other partners and collaborators Provide full administrative support to the preparation process for Global Health Diplomacy seminars, and other GBS unit arranged eventsInitiate and update activities related to increasing visibility of unit's programmatic areas on formal websites, and social media, through a close collaboration with the Communication, Resource Mobilization, and Partnership unitHandle the preparation of administrative issues related to the finalization of the Regional Committee meetings by:Preparing routine correspondence/invitation letters Facilitating conference services during the running ofthe Regional Committee Updating lists of the Regional Committee invitations in their various categories 7. Assist the first level supervisor in preparing for EMR Representation in EB and WHA meetings including:Preparing relevant lists and background materials Organizing travel arrangements for participating staff and ensuring the availability of fundsMaintaining the regular update of Permanent Missions'list 8.Take minutes of meetings, update and maintain unit filing and database system as required.
REQUIRED QUALIFICATIONS
Education
Essential: Completion of secondary education supplemented by secretarial training.
Desirable: University degree in business administration, social sciences or related field.
Experience
Essential: At least five years' progressive administrative experience.
Desirable: Relevant experience in the UN system.
Skills
Good filing and organizational skills.Ability to maintain good working relationships with staff, experts and visitors.Demonstrated ability to translate routine correspondence into English. Very good time management and stress management skills.Very good knowledge of WHO rules, manuals, practices, procedures and WHO Style Guide applicable to the administrative level an asset.
