We’re seeking a high-caliber Executive Assistant to support the CEO across daily operations, strategic follow-up, communication, multi-country coordination, and confidential matters.

This role blends EA + Operations Coordinator + Office Manager + Light Chief of Staff responsibilities.


🔷 Key Responsibilities

1. Executive Support


📅 Manage CEO calendar, meetings & multi-country travel (Egypt, Kuwait, Qatar, Oman, Bahrain).


⏱ Prioritize tasks, send reminders, ensure timely follow-up.


✉️ Draft emails, memos, and LinkedIn posts on behalf of the CEO.


📝 Prepare meeting minutes, summaries, and track action items.


2. Strategic & Operational Coordination


🔄 Follow up with Finance, Sales, Projects, HR & Support teams.


📊 Track major projects (UOFC, SQU, KTech, UTAS, Qatar Projects, etc.).


⚠️ Monitor deadlines and escalate delays.


📈 Prepare weekly dashboards & performance reports.


3. Client & Partner Communication


🤝 Coordinate with partners & universities, schedule meetings.


🧾 Follow up on contracts, invoices & deliverables.


📄 Support proposals & presentation preparation.


4. Office Management & HR Support


🧑‍💼 Support onboarding, contract handling & paperwork.


🏢 Manage office logistics, supplies & operations.


🎉 Assist in organizing visits, events, and team activities.


5. Personal & Travel Assistance


✈️ Handle personal travel, hotels & appointments.


🔐 Maintain full confidentiality.


🗂 Support with family travel and personal reminders.


6. Documentation & Reporting


📑 Prepare PPTs, Excel trackers & structured reports.


📁 Maintain organized filing and documentation systems.


💰 Track payments, invoices & financial summaries.


🔷 Job Requirements


3–7 years as Executive Assistant / Office Manager / Ops Coordinator


Excellent English (spoken & written)


Strong Excel, PPT, Google Workspace, Outlook, Task Management


High professionalism, confidentiality & problem-solving


Ability to manage pressure, shifting priorities & multi-country tasks


Proactive, solution-driven, highly structured personality
