Job Description – Purchasing Manager

Role Overview
We are seeking an experienced Purchasing Manager to oversee all purchasing activities, ensuring the highest quality standards while achieving the best available market prices. The role plays a critical part in supporting hotel and hospitality operations through effective sourcing, supplier management, and purchasing strategy execution.
Key Responsibilities
Internal Responsibilities
Ensure timely provision of requested items at optimal cost and quality
Assist the Financial Controller in purchasing food and non-food operational items
Supervise purchasing department clerical staff
Process purchasing requisitions from department heads
Oversee emergency purchasing within approved price limits
Prepare monthly purchasing reports and supply logbook data
Post receiving records accurately through the system
Coordinate closely with storekeepers to ensure proper storage and goods handling
External Responsibilities
Manage vendor and manufacturer relationships
Handle global supplier contracts for hotels, resorts, and cruise operations
Purchase materials and equipment from local markets
Monitor market trends, pricing changes, and product availability
Quality & Compliance
Inspect received items for quality, quantity, and price compliance
Manage receiving and return of rejected items
Ensure all importing, purchasing, and receiving procedures are followed
Maintain strict ethical standards (no commissions, gifts, or personal advantages)
Ensure purchasing team adheres to company standards of conduct, hygiene, and appearance
Strategic Purchasing
Procure parts and materials at negotiated rates
Develop supply and production plans to ensure timely customer delivery
Create, monitor, and improve purchasing strategies and performance
Support and develop purchasing staff performance
Qualifications & Requirements
Bachelor’s Degree (required)
3–10 years of experience in purchasing or procurement
Strong negotiation and supplier management skills
Excellent written and verbal communication skills
Strong market awareness and cost-control mindset
